TERMS OF BUSINESS – HEAT ECO BUILDING SERVICES
1. Definitions
“Heat Eco”, “we”, or “us” refers to Heat Eco Building Services. “The Customer” or “you” refers to the
person or business requesting our services.
2. Estimates and Quotations
• Estimates: A rough guide based on initial talks. If things change or we find hidden issues, we’ll
give you a new one.
• Written Quotations: This is our final price for the specific work discussed.
• The Rule: If it’s not written on the quote, it’s not included. If you’re unsure, just ask us!
• Any changes to the work after we start will likely result in a revised price.
3. Getting Started
• We need a digitally signed estimate or quote before we order materials or start work.
• For Emergency Jobs, we charge for the first hour to investigate, then provide an estimate for the
fix.
4. Our Guarantee
• Workmanship: Guaranteed for 1 year.
• Materials/Parts: Covered by the manufacturer’s own warranty.
• Call-outs: If you call us out for a fault and it turns out not to be related to our work, our standard
hourly rate will apply.
5. Your Responsibilities
• Measurements & Materials: If you provide them, you’re responsible for the cost of replacements
if they’re wrong or faulty.
• Access: You must let us into the property and ensure we have any needed permits/consents.
• Safety: Tell us about any hazards (like asbestos or dodgy wiring) before we start.
• Clear Workspace: Please move furniture, carpets, and breakables from the work area. We aren’t li-
able for damage to items left in the way.
6. The Building & Hidden Issues
• We can’t see through walls! If we find plumbing, electrical, or structural issues hidden behind box-
es, floorboards, or tiles, fixing them will be an extra charge.
• When removing tiles, we aren’t responsible for the state of the wall underneath.
7. Materials
• Everything we supply remains our property until the bill is paid in full.• We use plastic and/or copper pipework at our professional discretion unless we’ve agreed other-
wise in writing.
8. Payments
• Domestic Clients: Payment due within 7 days of the invoice.
• Commercial Clients: Payment due within 14 days of the invoice.
• Late Payments: We charge interest at 8% above the Bank of England base rate.
• We reserve the right to recover any debt collection or legal fees from you.
9. Cancellations
• You have a 14-day “cooling-off” period after accepting a quote (under the Consumer Contract
Regulations 2013).
• If you ask us to start work within those 14 days, you must pay for any work completed up to the
point of cancellation.
10. General Stuff
• VAT Status: Heat Eco Building Services is not VAT registered. All prices quoted are the final total
and do not include VAT. Should our status change, we will notify clients accordingly.
• Limitation of Liability: To the fullest extent permitted by law, we are not liable for any indirect or
consequential loss (including loss of profit, loss of business, or loss of opportunity). Our total ag-
gregate liability to you for any claim arising out of or in connection with our services (whether in
contract, tort (including negligence), breach of statutory duty, or otherwise) is limited to the total
amount paid by you to us for the relevant service(s). Nothing in these terms limits or excludes lia-
bility for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or
any other liability that cannot be limited or excluded by law.
• Force Majeure: We are not responsible for any delay or failure to perform our obligations where
this is caused by events or circumstances beyond our reasonable control, including (without limita-
tion) severe weather, flooding, fire, supply chain disruption, shortages of materials, transport dis-
ruption, utility outages, strikes, industrial action, or government restrictions. Where this happens,
we will notify you as soon as reasonably possible and agree a revised timeframe for the works.
• We’ll always work with care and follow the law.
• We have full Public Liability and Employers Liability insurance.
• Governing Law: This agreement is governed by the laws of England and Wales.
11. Site Access, Parking & Utilities
• Parking: You must provide a parking permit or a dedicated parking space for our vehicles. If no
free parking is available, any parking charges or fines incurred (due to lack of provided space) will
be added to your final invoice.• Utilities: You agree to provide us with free use of water and electricity at the premises for the du-
ration of the works.
12. Waste & Skips
• Unless specifically included in your written quotation, the cost of skips and the removal of bulky
waste, soil, or hazardous materials from the site is your responsibility.
13. Marketing & Photos
• We love showing off our work! We may take photos or videos of the project (before, during, and
after) to use for our website and social media. We will never share your full name or exact address.
If you’d prefer us not to do this, just let us know before we start.
14. Unforeseen Ground Conditions (For Ponds, Pools & Extensions)
• Our quotes for excavation are based on normal ground conditions. If we encounter unforeseen
obstructions like solid rock, underground structures, running sand, or old wells, the extra time and
equipment needed to handle this will be chargeable.
15. Aborted Visits & Wasted Time
• If we arrive at the scheduled time and cannot gain access to the property as agreed, we reserve
the right to charge a “Wasted Time” fee. This will be charged at our standard hourly rate for the
time lost and travel costs.
16. Presence of a Responsible Adult
• For safety and insurance reasons, an adult (aged 18 or over) must be present at the property at all
times while our team is working. We will not enter or remain in a property where children or mi-
nors have been left alone. If we have to leave the site because a responsible adult is not present,
this will be treated as a wasted visit and charged accordingly.
17. Commercial Clients & Purchase Orders (PO)
• If your internal processes require a Purchase Order (PO) number for payment, it is your responsi-
bility to provide this to us before work begins or materials are ordered.
• We are not liable for any delays to the project caused by the late provision of a PO number.
• Please note that the absence of a PO number on our final invoice does not exempt you from your
obligation to pay for work that has been authorised and completed.
18. Right to Suspend or Terminate• Zero-tolerance policy: Heat Eco Building Services operates a zero-tolerance policy toward any
form of verbal or physical abuse, threats, or violence directed at our staff or contractors. We re-
serve the right to immediately withdraw from the site and suspend or terminate all services if such
behavior occurs.
• Suspension rights: Additionally, we reserve the right to suspend work if:
• Payments are not made according to the agreed schedule.
• The site conditions are deemed unsafe or do not meet health and safety standards.
• Access to the property is restricted or hindered by the client.
19. Data Protection
• Heat Eco Building Services is committed to protecting your personal data in compliance with the
UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We collect
and process your name, contact details, and address solely for the purpose of providing our ser-
vices, processing payments, and fulfilling our legal obligations. We will not share your personal da-
ta with third parties for marketing purposes without your explicit consent. For more information,
